Booking Confirmation
The total number of passengers, breakdown by age and gender, must be confirmed no later than 38 days prior to arrival. Between that moment and 30 days to arrival:
- Changes in passengers will be allowed for same gender and age category (adult or minor).
- Additional group members may be requested but will be subject to availability.
- Up to 10% of bookings can be cancelled free of charge. Any cancellations exceeding this limit will incur a £250 cancellation fee.
Thereafter, PLUS' standard policies will apply, except cancellations above 10% which will continue to incur a £250 cancellation fee.
Rooming List
Rooming lists will be submitted 28 days in advance and cannot be modified with name changes or changes in room pairings.
Rooms with incorrect names will be treated as no-shows and therefore subject to a 100% penalty.
Rooms with new names will be treated as new bookings and therefore subject to availability and applicable rates at the time of the change, at the full expense of the client.
Capacity Limits
- Bath: 120 beds
- Ellesmere: 60 beds
- Loughborough: 120 beds
- York: 60 beds
Accommodation Details
Accommodation is planned at a central London hotel. If the hotel is unavailable, alternative accommodation may be provided in a university residence.
- Hotels: Single, twin, or triple ensuite rooms. Please note that students may occasionally need to be placed in shared rooms with students from other groups.
- University: Single standard rooms.
Passport Requirements
All passengers must be holders of a non-British passport, in accordance with hotel policies.
Meal Arrangements
All meals from the first dinner are included. Dining options may vary from on-site to packed meals and local restaurants.
